Forward Education Trust is a newly created Trust in April 2017 formed from three special schools in Birmingham; Brays School, The Bridge School and Hallmoor School. Other schools will be joining the trust over the coming year. The schools deliver specialist education for pupils with complex special educational needs and disabilities.

An exciting opportunity has arisen for us to recruit a Finance Assistant to join our growing Multi Academy Trust. The trust wish to appoint a graduate wishing to undertake and work towards AAT or ACCA/CIMA qualification and someone who is committed to their ongoing personal development and learning.

The successful candidate will support the Finance Officer, Finance Director, Finance Controller and the Executive Leadership Team by providing accurate and timely financial accounting support to the executive team.

The successful candidate will be professional, able to work under pressure and to tight deadlines. They will be able to multi task and deal accurately with the varied workload. They will have strong ICT, literacy and communication skills and good knowledge of accounting and double entry bookkeeping. The successful candidate will have experience of accounting via an accounting or finance degree or other post-16 qualification

    Contract Type  Part Time 20- 25 hours per week – All Year Round with the opportunity to work full time hours as required during Payroll weeks.

    Forward Education Trust is a newly created Trust in April 2017 formed from three special schools in Birmingham; Brays School, The Bridge School and Hallmoor School. Other schools will be joining the trust over the coming year. The schools deliver specialist education for pupils with complex special educational needs and disabilities.

    The Trust is a company limited by guarantee and is registered at Company House as Forward Education Trust. Its core purpose is to provide educational excellence to all pupils who are educated within its schools.

    The Trust governs its three schools (across four sites) through the schools’ Local Academy Councils. The Trust also encompasses Forward Education Services. Forward Education Services contains two distinct teams: specialist education consultants who support schools within the Trust and who do contract work to support settings outside of the Trust and the school-to-school support functions of Brays National Teaching School.

    The Trust is planning to expand over the next few years and as a result, the central team is expanding to ensure we have specialist in each area of business to take our organisation forward.

    The Trust requires an experienced payroll and pensions administrator to assist with the payroll and pensions administration of the Trust and to act as the main point of contact with our outsourced payroll provider, for a payroll of over 330 employees.

     

    The post is part time with hours and days worked subject to agreement and the needs of the role, expected to be around 20 – 25 hours per week with overtime necessary during busier weeks. This is a new and developing role and an opportunity to shape the payroll and pension processes of the Trust.

      JOB DESCRIPTION

      Core Purpose: 

      • To manage the delivery of a compliant, professional HR service for the Trust.  
      • Ensure that the Trust is operating within a legally robust HR policy and procedural framework, that is fit for purpose.
      • To effectively line manage the Payroll and Pensions Administrator.
      • To work effectively with the outsourced payroll provider and to ensure excellent communication and relevant checks are completed in a timely manner.
      • To provide robust professional advice and clear recommendations for action in all aspects of HR policy and practice.
      • To work with the Central Trust team, Executive School Leaders, Trust staff and outsourced providers
      • Foster an inclusive working environment in which Academy staff and pupils enjoy good working relationships
      • Provide sound employment advice and support to enable Head Teachers and senior Leaders to manage their Academies efficiently and in line with their educational objectives
      • Offer HR solutions which are legally compliant and meet Trust ethos and values

      Anticipated Outcomes of Post: 

      • A responsive, effective, professional and compliant HR and payroll service, which has been fully embedded across the Trust.

      List Key Duties & Accountabilities of the Post:

      • Work in partnership with our external HR/ER and Payroll provider to ensure all HR/ER functions are covered.
      • Lead on the provision of support and advice to the Trust on HR related issues as required, including providing professional developmental support to senior and middle leaders and HR administrators in schools, in all aspects of HR including the application of Trust policies.
      • Manage processes and paperwork associated with whole employee life cycle.
      • Lead on casework, restructures, and employee relations and support heads on behalf of the Trust, liaising with legal advisors and trade unions as appropriate, whilst ensuring the Trust is kept well informed.
      • Ensure accurate recording of all case work including minutes, emails, letters, witness statements.
      • Ensure that all transactional HR/Payroll matters are processed in a timely manner and that any issues are promptly resolved with our external providers.
      • Liaise with Legal provider and other HR staff where appropriate on certain cases, according to respective expertise.
      • Prepare for, support and attend Tribunal Hearings as and when required.
      • Lead on TUPE processes for academy conversions and lead with the CEO the consultation process with unions and staff.
      • Liaise with external service providers and other outside organisations to facilitate the accurate transfer of due diligence information.
      • Attend all project meetings as required and prepare associated documentation.
      • Develop and maintain effective working relationships with colleagues, employees, academy Head Teachers, governors, trade unions and external parties.
      • Be aware of the Trust national recognition agreement with Trade Unions and work within this, building effective working relationships with TU reps and officials.
      • Ensure that relevant legislative and educational employment knowledge is kept up to date within the Trust, advising on the interpretation and implementation of changes to ensure that all policies and procedures are up to date and legally compliant.
      • To provide training on all HR processes and procedures to appropriate administrators across Trust schools.
      • To periodically meet with administrators across the Trust to help inform and improve HR systems.
      • To provide shot-term administrative HR cover in individual Trust schools in the event of administration staff absence in order to ensure continuity of service.
      • Develop and ensure the appropriate consistent delivery of HR policy, systems and processes across the Trust, such as Recruitment, Induction, probation, performance management and sickness absence etc.
      • Manage HR MAT documentation including staff contracts, policies and procedures and forms etc. ensuring that they are regularly reviewed and updated and compliant with employment legislation and safer recruitment etc.
      • As and when required, manage the recruitment process and attend short-listing and interview panels or arrange for staff to serve these panels, at all times ensuring that principles of safer recruitment are maintained.
      • Ensure that the Trust is compliant with equality legislation, in terms of arrangements for pay and conditions across the Trust, giving professional recommendations and implementing action plans to address any inconsistencies of approach
      • Provide HR support for the process of schools joining the Trust
      • Ensure that HR record keeping is accurate and compliant across the Trust
      • Be able to articulate the Trust ethos and have a good understanding of how Trust values can and should affect desired behaviours
      • Support the management of the Apprenticeship Levy with the Director of Operations.
      • Actively seek and identify opportunities to enhance delivery of HR services across the Trust
      • Challenge and improve the HR level and skills across the Trust through coaching and mentoring and active participation in problem-solving and casework
      • Assist in the development of HR CPD for senior staff and managers across the Trust,
      • Assist with HR audits across the Trust and ensure the data acquired is used to develop good HR practice and procedure
      • Take a proactive role in the HR interventions required in relation to safeguarding.

      Supervision / Line Management Responsibilities of the Post:

      • In addition to line managing a Payroll and Pensions Administrator, the post holder is required to lead on working with the administrators in each of the schools, who will be required to work within the HR framework that is set up by the post holder.
      • It is envisaged that the HR service for the Trust will develop over time as the Trust grows and the HR service to other third parties develops, which may require the service to expand requiring a centralised HR team, which the post holder will line manage.

      Working Environment & Conditions of the post: 

      • In support of the Trust’s vision and ethos of shared teaching and learning to improve educational outcomes for young people, the post may be required to travel and work within any school in the Trust

      • To undertake additional duties as required, commensurate with the level of the job
      • Actively demonstrate commitment to own continuous professional development CPD and knowledge of ‘best practice
      • To participate in induction training, staff review processes and professional development opportunities
      • Continuously strengthen skills and knowledge required for effective HR case management and problem solving.

      • The post-holder is expected to familiarise themselves with and adhere to all relevant Trust and School Policies and Procedures.
      • This post is based at the Trust head office but regular travel to other Trust sites will be required and the post holder may be required to move their base to any other location within the Trust upon request
